About the role

Job Description

Location: Remote, 9:00 AM–5:00 PM ET Preference: Atlanta-based candidates who can come onsite approximately 1x/month if needed Target Start: By November 30, 2026 Contract Through: January 31, 2028 Pay Rate: ranges based on years of experience between $45-55/hour Team: 5 total resources, including 4 FTEs and 1 current consultant that will be there for 1 month of KT

Position Overview:

A client of Insight Global is seeking an experienced Inventory & Invoice Reconciliation Analyst to support invoice, purchase order, accounts payable, and inventory reconciliation activities across its distribution center operations.

The team supports 14 Distribution Centers servicing approximately half of the client's restaurant locations, ensuring restaurants have access to the products and supplies needed for daily operations. This includes items such as cups, napkins, condiments, and other restaurant inventory.

Every restaurant order ultimately creates a payable, and this individual will be responsible for identifying and resolving discrepancies between purchase orders, quantities shipped/received, invoices, pricing, and inventory records.

This is a hands-on operational role sitting within the business rather than traditional corporate AP. The immediate priority is someone who can quickly learn and execute the current reconciliation process, manage a high volume of exceptions accurately, and partner with AP, Finance, Inventory, Procurement, and other stakeholders to resolve discrepancies.

A borrowed consultant, has helped build and formalize the existing process and will provide knowledge transfer and training to the incoming resource. Longer term, the client wants someone who can not only execute the process but identify opportunities to improve, streamline, and iterate on the reconciliation strategy.

Key Responsibilities: -Perform day-to-day invoice, purchase order, AP, and inventory reconciliations across the client's distribution operations. -Validate invoices against purchase orders, shipments, receipts, pricing, and actual inventory received. -Research and resolve reconciliation exceptions, including: Ordered quantity vs. shipped quantity discrepancies Shipped quantity vs. received quantity discrepancies Overages and shortages Incorrect products or items received Invoice quantity mismatches Pricing discrepancies between expected and invoiced cost -Other PO and invoice-matching exceptions Example: A location may order 100 cases and be invoiced for 100, but only receive 90, receive 110, or receive 100 cases with several containing the incorrect product. This role is responsible for identifying the discrepancy and driving it toward resolution. -Work cross-functionally with Accounts Payable, Finance, Inventory, Procurement, and operational stakeholders to investigate and resolve exceptions. -Learn and take ownership of the reconciliation processes currently being executed by the existing consultant. -Maintain a high level of accuracy when working with invoices, quantities, pricing, purchase orders, and other financial/inventory data. -Use Microsoft Excel extensively to analyze data, reconcile records, identify discrepancies, and track exceptions. -Work within Oracle ERP / Oracle procurement and AP tools, or quickly adapt existing experience with a comparable enterprise ERP platform. -Once established in the day-to-day work, identify opportunities to make the reconciliation process more efficient, scalable, and accurate. -Provide practical input into the team's longer-term strategy for managing inventory and invoice reconciliation.

Ideal Candidate Profile:

The strongest candidate will probably look like a hybrid of AP + inventory/supply chain operations rather than someone whose background is purely transactional AP.

They should be able to talk concretely about situations like:

3-way matching: PO vs. receipt vs. invoice Invoice and PO exceptions Quantity received vs. quantity invoiced Over/short shipments Unit-price or pricing discrepancies Incorrect SKUs/items Vendor invoice discrepancies Inventory reconciliation Root-cause analysis of recurring exceptions Working with Finance/AP and operational or supply chain teams to resolve mismatches Excel-based reconciliation and analysis

They also need to be comfortable doing the actual reconciliation work themselves. Process improvement is important, but the hiring manager's immediate problem is getting the day-to-day work covered when the borrowed consultant rolls off.

Skills and Requirements

Strong professional experience in Accounts Payable, invoice reconciliation, inventory reconciliation, or a closely related financial/operations function. Demonstrated experience performing PO-to-invoice matching and reconciliation and investigating mismatches or exceptions. Experience reconciling discrepancies involving: Quantities Pricing Inventory received Purchase orders Invoices/payables Strong Microsoft Excel proficiency and ability to work comfortably with detailed numerical datasets. Strong numerical aptitude and attention to detail. Must be comfortable identifying discrepancies across quantities, unit prices, extensions, and invoice totals. Experience working within an ERP or enterprise procurement/AP system. Ability to work independently and take ownership of recurring operational reconciliation activities. Strong problem-solving skills with the ability to investigate exceptions rather than simply identify them. Ability to partner across AP, Finance, Inventory, Procurement, and business/operations teams. Comfortable stepping into an established process, learning it quickly, and consistently executing the day-to-day workload. Oracle ERP experience. Experience with Oracle procurement and/or Accounts Payable tools. Experience supporting inventory-intensive environments such as distribution, supply chain, retail, restaurant, food service, manufacturing, or logistics. Experience supporting reconciliation across distribution centers, warehouses, or high-volume inventory operations. Experience identifying and implementing process improvements within AP, invoice reconciliation, procurement, or inventory processes. Atlanta-area candidate who is comfortable coming onsite approximately once per month if needed.
